Advice For Provider Agencies: Use Technology to Increase Accountability & Communication

If a Medicaid waiver provider agency is going to find success, they need to optimize and streamline their back-office procedures. Having professional DSPs who care about the individuals that they serve is not enough.

Provider agencies and human service organizations need to utilize tools and methods that are up-to-date and cost effective. This means transitioning away from outdated procedures that may have worked in the past, but are now problematic.

Eliminate Outdated & Inefficient Methods:

For example, provider agencies need to eliminate the use of paper timecards and spreadsheets. With the demands of electronic visit verification (EVV), accurate workforce scheduling and monitoring of staff compliance responsibilities; an old-fashioned printed spreadsheet will no longer work. These inefficient tools and methods will only hurt an agency’s ability to accurately monitor their workforce and regulatory requirements, as well as reduce chances to optimize their overall cash flow.

Waiver provider agencies, and their direct care staff, are not paid enough when one considers the importance of their work. It only makes sense to maximize office assets and use all resources to their full potential. Modern applications need an intuitive interface that fully integrates with EVV requirements and other digital demands, such as generating timecards. These built in features allow for mobile and fixed visit verification. An ability that increases and agencies overall efficiency and proof of compliance. In addition, managers have access to a broad array of reports and workforce analytics.

Beyond the Proof of Visit:

The federal requirement for EVV functionality should be seen as an opportunity to capture better data about an agencies workflow. An EVV solution that functions both in and out of data coverage while capturing GPS data is valuable. Especially when is it fully integrated with scheduling functions and other time collection tools. Good workforce management for waiver provider agencies allows supervisors to quickly locate any gaps or overlaps in the delivery of services. In this way, organizations can utilize EVV data instead of seeing it as an unnecessary burden.

Since EVV information has already been recorded, it can be used to verify schedules and generate digital timecards. This pushes beyond EVV requirements and provides for a more convenient delivery of services, while allowing for easy integration with a variety of payroll software solutions.

The administrative goal for any agency is to streamline the administrative billing process. Any tools that make for the importation and approval of services delivered is helpful. Making sure that EVV data, employee hours and consumer profiles are correctly matched up is essential. Otherwise, an organization’s administrative staff will have to waste valuable time and resources during this validation process.
